Hiring/Working Process

Please send me a message via my contact form so we can begin the discussion. There’ll be a 30-minute Skype Call so you can tell me more about what you need and I can answer other questions you might have.

Once we agree, I will send you an Independent Contractor Agreement to formally start our working relationship via EchoSign.  You can also send me  a confidentiality agreement or any other document you would like me to sign. Please take note that I always recommend a trial period to see if we’re a good fit together.

When the agreement is signed, I will create a workspace for you in Asana or you may add me to the project management tool you are using. If I created a workspace for you in Asana, I will send you an email address where you can email all tasks. This will automatically be assigned to me in Asana.  I will also send a link to a video tutorial of Asana so you’ll have an idea how it works.

The best way to reach me is by email. I answer emails within 24 hours except on weekends. However, clients will also have access to me via Skype and Google HangOut. Clients can request a meeting whenever they want but it will be charged to them.

Working Hours

My working day starts at 11AM (Manila Time).

Weekends are sacred for me. They are reserved for my daughter and my niece.

Rates and Fees

I work on a monthly  retainer rate and it is paid at the beginning of every month or before before I start working with you.

Billing and Invoicing

The retainer rate should be paid upfront at the beginning of every month.  If I will exceed the allotted time, I will ask permission if you want me to proceed. These additional hours will be included in the next invoice.

I use the time tracking feature of Freshbooks to record the time spent on hours. Tasks are billed in increments of 15 minutes.

I will send you an invoice with detailed description of tasks done for review at the end of each month. If you need more details, I can also mainta

You can pay me via Paypal  or Xoom.  Any transfer fees will be shouldered by the client.

I urge clients to pay promptly. But just in case they don’t, I have payment reminders set up in Freshbooks to do this automatically every 7 days. There is no charge for late payments because I do understand that delays occur.

Turn around of tasks

I ask for deadlines and add that to task details in Asana. This way I will get notification of what tasks I need to do, when they are due, and make sure I do them on time.

Will you be personally doing my tasks or are you subcontracting it?

I always take care of new clients personally. However, all my clients know that it is my dream to build a virtual assistant team so I can help my other Filipinas discover the joys of working from home.  They do not mind and are, in fact, very supportive of this dream.  When a tasks can be delegated to someone, I will delegate it. But I will be there to check on the work.

Currently, I only have one virtual assistant interning for me doing administrative work.  I do have a go-to person for the following:  article writing, graphic design, WordPress development, and transcription.
